Description

The Executive Assistant/ Office Assistant will provide support to the VP and ensure administrative support is conducted with exemplary attention to detail and completed on schedule.

The EA/OA is responsible for providing clients with the highest level of customer service,

Responsibilities:

  • Calendar management for the VP
  • Scheduling appointments
  • Providing quotations for Home/ Vehicle Modifications
  • Correspondence with clients, potential clients and referral sources
  • Coordinating/ Managing schedules of on-site contractors and staff
  • Invoicing and various accounts receivable duties
  • Administrative duties such as: routine faxing, emailing, photocopying and filing
  • Greeting visitors to the front desk and addressing questions
  • Answering phones
  • Ensure VP has all necessary information for meetings,
  • Represent the company with the highest level of professionalism
  • Manage and participate in various ad hoc projects as required

Qualifications:

  • 2-5 years of previous administrative support and executive support experience
  • High degree of confidentiality and judgment in dealing with sensitive information
  • Advanced computer skills including in-depth knowledge of Excel, Word and Business Vision
  • Strong demonstrated professionalism and judgment
  • Excellent organization /prioritization skills and time management
  • Multitasking
  • Attention to detail
  • Strong demonstrated ability to communicate effectively both verbal and written
  • Ability to act promptly and accurately under pressure
